Organize Medical Records with Notion AI
Job to be done: Organize and manage complex medical information for a family member's cancer treatment
🇳🇬 Ways to use this in Nigeria
Ideas to get you started, adapt to your situation.
- 9-5 employee
As an employee, use Notion to track your elderly parent's hospital appointments, medication schedules, and scan reports, using Notion AI to quickly understand complex medical terms before doctor visits.
- Student
As a university student, create a Notion database to manage your younger sibling's sickle cell clinic appointments and medication refills, using Notion AI to summarize their lab results for family discussions.
What you’ll get
You will create a structured database in Notion to manage medical information for a loved one. This includes tracking appointments, storing medical records, and using Notion AI to simplify complex medical jargon and identify trends. This approach works by leveraging Notion’s flexibility to organize diverse information types and its AI to process and summarize text, making it easier to navigate a challenging medical journey.
Tools you need
- Notion (freemium): A versatile workspace for notes, tasks, and databases. Used here to build a central hub for all medical information.
- Notion AI (freemium): An AI assistant integrated into Notion. Used here to summarize medical reports and explain complex terms.
Steps
- Create a new Notion page: Open Notion and create a new blank page. You can name it something like “Mum’s Medical Hub”. You should see a blank page ready for content.
- Set up a database for appointments: On your new page, type
/databaseand select “Database - Inline”. Name the database “Appointments”. Add properties like “Date” (type: Date), “Doctor” (type: Text), “Notes” (type: Text), and “Status” (type: Select, with options like “Upcoming”, “Completed”, “Cancelled”). You should see a table with columns for Date, Doctor, Notes, and Status. - Add upcoming appointments: Click the ”+” button to add new entries. Fill in the details for each upcoming doctor’s visit, including the date, doctor’s name, and any relevant notes. Each appointment will appear as a row in your database.
- Set up a database for medical records: Below your appointments database, create another “Database - Inline”. Name it “Medical Records”. Add properties like “Document Name” (type: Title), “Date Received” (type: Date), and “Type” (type: Select, with options like “Lab Results”, “Scan Report”, “Doctor’s Notes”). You should see a new table for your medical documents.
- Upload medical documents: For each medical record, click to open the page. You can then upload files directly into the page content area. For example, upload a PDF of a lab report. The document will be attached to the entry in your database.
- Use Notion AI to summarize a report: Open a page for a specific medical record (e.g., a lab report). Click the “Ask AI” button or type
/ai. Select “Summarize” or “Explain this”. Paste the text from the medical report into the AI prompt. Notion AI will provide a simplified summary or explanation of the medical information. - Use Notion AI to identify trends: If you have multiple entries with similar information (e.g., several lab results over time), you can ask Notion AI to look for trends. In a new block on your page, type
/aiand select “Ask AI”. You can then ask a question like: “Based on the lab results entered so far, what are the key trends in Mum’s condition?” Notion AI will attempt to analyze the provided text and give you an overview of observed trends. - View appointments on a calendar: Go to your “Appointments” database. Click the ”+” button at the top of the database to add a new “View”. Select “Calendar” and choose your “Date” property. You should now see your appointments displayed on a calendar view.

This workflow is based on a personal account shared by Reddit user u/Reasonable_Cookie_55 on the platform. They described how they adapted Notion and its AI features to manage the complex medical information and appointments related to their mother’s cancer treatment, turning a chaotic situation into a more organized project.
Notes & variations
- Free tier limits: Notion’s free tier is very generous for personal use, offering unlimited blocks and pages. Notion AI provides a limited number of AI actions for free users, after which you may need to upgrade.
- Common mistake: Trying to input too much unstructured text directly into database properties instead of using the page content for detailed notes or document uploads. This makes it harder for Notion AI to process information effectively.
- Tip for better results: Be specific when asking Notion AI to summarize or explain. For example, instead of “Summarize this”, try “Summarize this lab report in simple terms, focusing on the key indicators related to [specific condition].”
